Executive Team Assistant

Capella’s active involvement across each project phase – consortium formation, development of the bid strategy and management, financing solutions, commercial structuring, strategic input into design and construction, complementary commercial developments, and facilities and asset management – gives us an intimate understanding of each project in its entirety, assuring clients and partners of whole of life outcomes

We are currently looking for an experienced Executive Team Assistant to provide administrative support to the Melbourne Capella Capital team to ensure the smooth operation of the office. As part of a job-share, you will be required to work two days per week (Thursday and Friday, 8:30am-5:30pm) with some extra hours and days required on an ad-hoc basis.

The Executive Team Assistant will be responsible for a wide variety of tasks for the Capella Capital team including reception and office management, coordination of internal and external meetings as well as the management of travel arrangements for the team. Further duties will include electronic records management, financial administration, processing of monthly expenses, some diary management as well as the preparation of reports and documents. You will also provide administrative assistance to the Bidding team with all aspects of tender submissions work as required.

You will have a demonstrated background working in a similar role within a corporate environment and enjoy being in a business partnering role. You will have advanced computer skills including Microsoft PowerPoint and Word. You will demonstrate strong organizational skills with superior written/verbal communication skills and self-awareness.

The ability to deal with confidential information and manage multiple priorities whilst conducting yourself professionally at all times will be key to your success. Your positive, pro-active attitude and collaborative approach will see you to hit the ground running in the Executive Team Assistant role with the high performing team at Capella Capital.
