Legal Personal Assistant

The Role

We now have an opportunity for Legal Personal Assistant to provide administrative support to the WA Lawyer who manages WA, SA, NT, Asia and the Middle East.  You will also provide assistance to other members of the wider Legal group on occasion. Key responsibilities include:

  • Dictaphone typing (Olympus dictation software), of contract reviews using Aurecon template, responding to emails, editing contracts and the like.
  • Arranging contract executions (locally, nationally and internationally), scanning and filing of contracts and other documents and arrange returns
  • Checking all attachments required to be signed by Aurecon’s management and board
  • Ability to respond to general queries on behalf of the Legal Counsel
  • Diary management including travel and teleconferences (Project Risk Committee Meetings)
  • Credit card and expenses reconciliation
  • Sound document management control, including electronic filing of documents on our software database (Content Server).
  • Demonstrated experience in using Adobe products, MS Office and ability to quickly acquire use of other software used by the company.
  • Other duties as required

Qualities/Qualifications

Applications welcome from self-starters with appropriate tertiary qualification in business / administration coupled with the following qualities:

  • Advanced knowledge of WORD and Outlook essential with some Power Point and Excel knowledge,
  • Ability to use dictation software with high level of accuracy with a typing speed of 70wpm.
  • Knowledge of Dragon voice recognition software an advantage
  • High level of attention to detail
  • Good communication skills as you will be communicating with people across Aurecon globally.
  • Ability to use your own initiative
  • A strongly team focussed approach and ability to work collaboratively
  • Maintain confidentiality
  • Courteous and professional behaviour and communications skills
  • Demonstrated working knowledge of MS Office Suite, Adobe and ability to learn other software easily
  • Dependable, mature, trustworthy and reliable
  • Possesses commercial acumen or the ability to understand how the role’s importance is to the commercial side of the business

This role reports to the WA Legal Manager and will be based in our Perth Office.

The successful candidate will have either well developed secretarial skills or have recently graduated from a well-respected college or institute specialising in business administration skills, including accurate word processing, as well as a demonstrated high level of professionalism, initiative and resourcefulness including the ability to operate without supervision and to exercise discretion, judgement and decisiveness in the performance of tasks
