Team Assistant


The overall objective of this role is to provide a superior level of administrative and infrastructure support to senior management and the broader engineering team.

This varied role involves project set-up, administration and billing, procurement, office management plus travel and diary management. You will be well supported by an established and approachable team as you learn our systems for procurement, project reporting and set-up. 

The Role

  • Providing procurement support across all functions
  • Liaising with procurement partners and clients to arrange 3rd party software requisitions
  • Providing project administration and support to project managers, assisting with project reporting and setup
  • Owning the on-boarding process, supporting new colleagues as they join our business
  • Assisting with professional excellence, ensuring we conform to all quality assurance and compliance procedures
  • Knowing and mastering our internal systems and processes
  • Uploading documents and information to our internal databases
  • Preparing and distributing documents in all MS Office formats (Word, PowerPoint and Excel)
  • Follow processes, procedures and reporting schedules and providing feedback for improvement where necessary
  • Attending meetings, taking clear notes and training sessions as appropriate
  • Provide cover and support when required
  • Regularly liaising, reporting and aligning with a global operations support team



This is a  full-time role reporting to operational support leaders in the UK with local reporting to the engineering management leaders.

 

The Requirements

  • Proven organisational skills to monitor and manage multiple tasks and stake-holders
  • Technically capable and highly proficient in MS Word, Excel, PowerPoint and Outlook
  • Ability to learn and adapt to using proprietary software (Oracle, CIS, Skype, Book a room)
  • Excellent administration skills including the ability to successfully meet conflicting deadlines
  • A methodical approach to monitoring and managing workflow
  • Accurate typing and data entry skills
  • Effective and confident oral and written communication skills with a pro-active approach
  • Flexible, adaptable and a good team player who can work with clients and colleagues at all levels
  • Ability to follow Willis Towers Watson’s systems and processes
  • Confidence dealing with numerical information and spreadsheets
  • There will be a limited need to work with the UK timezone.
