Our Australian Investment team comprises around 45 investment professionals (across our Sydney and Melbourne offices) working together to provide tailor-made investment solutions for our clients. As a team assistant in our Investments Line of Business, you will enjoy the opportunity to support the team as a whole using your can-do disposition and your focus on client service, quality and continuous improvement to produce high quality work – first time, every time. Whether it is undertaking edits on a document, or playing a role in laying out an important client presentation, you appreciate the importance of quality in everything we do.

Whilst this is a full-time role, we will also consider applicants who want to work on a part-time basis, working a minimum 4 days a week.

The Role:

  • Work collaboratively with analysts and consultants to assist them in completing their work deliverables
  • Respond to client concerns and requests for information; direct queries as appropriate with the highest level of client service
  • Work collaboratively with other team assistants in order to progress tasks and ensure sufficient coverage when other assistants are on leave
  • Ensure all documentation and correspondence is professionally presented and formatted in accordance with company standards; maintain electronic files
  • Assist with arrangement of internal and external meetings including booking of meeting rooms, setup of video or telephone conferencing facilities, guest notification to reception, ordering of necessary catering and provision of tea/coffee and compilation of meeting materials for participants
  • Organise work-related travel (both domestic and international) in a manner that maximises both cost and time efficiency for associates
  • Complete ad hoc administrative duties including printing and binding; distributing mail; maintenance of CRM and client lists (contacts, distribution lists); providing reception cover as required
  • Organise internal and external functions including, but not limited to, presentations, team events, client dinners and conferences
  • Collect receipts and complete monthly expense claims for associates
  • Prepare internal meeting minutes and action item lists which ensure the effective execution and monitoring of project plans

The Requirements:

  • Commitment to the role, and willingness to learn
  • Strong attention to detail, process-oriented, coupled with excellent proof-reading abilities
  • Strong verbal and written communication skills
  • Well organised with excellent ability to schedule priorities and capacity to multi-task
  • Ability and willingness to work effectively as part of a team
  • Ability to work independently and pro-actively
  • Calm, professional manner even under pressure
  • Ability to work effectively with a variety of interpersonal and work styles, showing respect for other perspectives even when different from one's own
  • Advanced Word, PowerPoint and Email skills and intermediate Excel are preferred
  • Typing speed of approximately 65 wpm (or greater) desirable; 100% accuracy in completed work
  • Some experience working as a corporate Personal Assistant/Group Assistant role preferable
