The Role:

This is a part-time role working 28 hours per week. Ideally the successful candidate will work 28 hours over four days; however, we are open to considering other combinations of days and hours.

The overall objective of this role is to provide a superior level of administrative and infrastructure support to senior management and the broader team.

  • Provide administrative support to senior management team
  • Co-ordinate meetings and maintain appointment schedules and calendars
  • Schedule and co-ordinate domestic and international travel arrangements
  • Managing timesheets
  • Project set-up and reporting
  • Organising team social events
  • Organising catering for meetings
  • Reception cover on a rotational basis
  • Office management
  • HASP licence management
  • Managing software requisition requests
  • Infrastructure support
  • Preparation and co-ordination of activities for global leadership visits
  • Assist group in preparation for any client/vendor presentations or meetings
  • Escrow deposits
  • Assist consultants in the timely submission of expense reports, including collection of receipts and completion of monthly claims
  • Assist management in tracking of Entertainment and Training budgets

The Requirements:

  • Advanced Outlook skills
  • Intermediate Word, Excel and Powerpoint skills
  • Previous experience in a team assistant role
  • Strong attention to detail
  • Strong verbal and written skills
  • Well organised with the ability to schedule priorities
  • Ability to work independently as well as in a team
  • Enthusiastic with the ability to learn new technologies
  • Prepared to occasionally work outside of normal hours to meet client and team deadlines
  • Previous experience in infrastructure support is ideal with a strong interest/understanding in office networks and infrastructure setup and maintenance requirements.
  • Knowledge of particular software packages and technologies is desired (e.g. Sharepoint, Confluence, Azure, TFS)

Candidates must have either Australian or New Zealand citizenship or an appropriate permanent working visa.
