POSITION DESCRIPTION

POSITION: SALES SUPPORT EXECUTIVE

REPORTING TO: BUSINESS DEVELOPMENT DIRECTOR

HOURS:PART-TIME (approx. 20 hours per week – Flexible days)

POSITION PURPOSE

The primary focus of the SSE position is to provide the sales team with a professional, pro-active and efficient administrative service to best position the business to provide superior levels of customer service to its clients and to support the business in its drive to achieve its revenue targets.

  • Clients and suppliers
  • Equipment remarketers

PRINCIPAL RESPONSIBILITIES

Specific responsibilities of the role include, but are not limited to:

LEASE DOCUMENTATION & SALES ADMINISTRATION PROCESS

  • Prepare lease quotes as directed by BDM’s
  • Assist BDM’s with the administration aspects of the customer credit application process
  • Assist BDM’s with the AML compliance process
  • Prepare customer lease contract documentation using system templates
  • Manage the PPSR process (registrations, amendments, discharges) inclusive of ensuring regular drawdown customers have current PPSR’s in place
  • Liaise with customers as required to facilitate the return of lease documentation
  • Manage the lease transaction settlement process
  • Liaise with funders regarding lease payout quotations for contract early payouts
  • Ensure vendor invoices are recorded in the system
  • Manage the deal file and customer file process to ensure all records are kept up to date
  • Ensure completed deal files are passed to Finance in a timely manner
  • Liaise with customers with respect to forwarding remittance advice information as required
  • Assist with the compilation of external party audit information (eg. funders, AML)
  • Assist BDMs with the production of customer sales proposals
  • Complete customer specific reporting processes per agreed cycles / timeframes in a proactive manner
  • Complete internal BDM reporting and analysis requests
  • Attend BDM arranged customer meetings as required
  • Point of contact for general customer queries
  • Point of contact for equipment vendor queries
  • Assist with customer arrears and collection activities
  • Manage CRM inputs including client information and deal updates

MARKETING ADMINISTRATION

  • Assist on an ad hoc basis with the coordination of marketing collateral updates
  • Assist BDM’s in coordinating and maintaining their social media / linkedin database
  • Assist BDM’s in identifying target clients and industry’s

GENERAL ADMINISTRATION

  • Ad hoc support and administration duties as required
  • General office supplies ordering responsibility (eg. office consumables)
  • OHS – First Aid contact point

OTHER

  • Participate in and complete assigned projects as required in a proactive and timely manner
  • Contribute positively to business process and systems improvement
  • Work collaboratively with all team members to ensure consistency of approach and quality of service delivery to relevant parties.

  • Proficient (intermediate) in Microsoft office suite
  • Adaptable to learning proprietary Quadrent systems

  • A good understanding of lease accounting principles would be advantageous

QUALIFICATIONS & BACKGROUND/WORK EXPERIENCE

  • Tertiary qualification preferred
  • And/or
  • 3-5 years experience in support roles preferably in Finance/Banking/Legal related industries
