Executive Assistant


About the role

A rare and challenging opportunity has arisen for an experienced Executive Assistant to provide high quality secretartial and administrative support to our Head of Retail and additional business leaders as required. 

You will thrive working in a fast paced office enviornment with a proven ability to multitask and build key stakeholder relationships across the organistation. You will utiilise your skills in all aspects of office management operations and deliver exceptional executive support in an efficient and timely manner.

Key Responsibilities include;

  • Email management on behalf of the Head of Retail in a highly efficient and timely manner.
  • Diary management and coordination of meetings
  • Proactively manage and anticipate all travel requirements for the team and  liaise with external stakeholders to coordinate travel plans.
  • Coordinating and overseeing internal and external events
  • Maintaining monthly expense records, retaining receipts and ensuring statements for the broader team are processed correctly, efficiently and on time.
  • Producing high-quality presentations, papers, reports, letters, agenda and minutes in line with GPT style guidelines.
  • Ensuring all Board, Investment and Leadership Team meeting papers and presentations are submitted on time
  • Ensuring team members are prepared for meetings including agendas, minutes, pre and post work and commitments are completed in a timely manner.

About your experience

To be successful in this role you will ideally hold the below skills and experience

  • Prior experience in an Executive Assistant capacity.
  • Proficiency with Microsoft Office suite of programs.
  • Strong verbal and written communication skills.
  • A knowledge of iBuy, Concur and SharePoint (desirable not essential)
  • High attention to detail.
