Executive Assistant

We are currently seeking an experienced Executive Assistant to join our Program Advisory and Environment and Planning business in a full-time flexible capacity, based in our Brisbane office.

Working directly to support the local team and its Global Service Line Leaders, you will be responsible for providing the team with high level administrative and operational support and be able to take initiative where required.

Aurecon does promote flexible work arrangements for staff.  Due to the nature of this role supporting two Global Heads, there may be times that assistance will be required outside normal working hours due to time zones

Your duties will include, but are not limited to:

  • Gain a deep understanding of the business and learn how to contribute accordingly
  • Diary and inbox management, assist with phone calls when required
  • Organise travel both domestically and internationally
  • Monthly credit card reconciliation and expense reimbursements
  • Assisting with compiling of documents, editing & formatting for bids & proposals
  • Assistance with maintaining the Program Advisory Knowledge management system
  • Maintaining distribution lists
  • Take minutes for weekly Program Advisory Leadership meetings, distribute and follow up with actions
  • Produce monthly reports in conjunction with the Leader
  • Develop key relationships with peers, client directors, unit leaders and their PA’s
  • Ad-hoc requests and other duties as requested from time to time
  • Reception relief

Key Attributes:

  • 5 + years Personal / Executive Assistant experience with excellent advanced computer skills (MS Excel, MS PowerPoint and MS Word)
  • You will demonstrate excellent time management, organisational and project management skills together with superior written and verbal communication skills.
  • To be high achiever in this role you will have similar support experience to multiple managers, and be a strong communicator at all levels of an organisation.
  • Attention to detail and able to anticipate other’s needs
  • Ability to handle multiple projects, changing and conflicting priorities
  • Show the ability to work autonomously, have a positive “can-do” attitude, is flexible and adaptable in a fast-paced environment
  • Excellent interpersonal management skills and problem-solving tools will be highly regarded
  • The ability to exercise integrity and experience in handling highly confidential information
  • An understanding of a Professional Services Global business would be an advantage

You will get involved in all the administration you would expect of a traditional Personal Assistant, with the diversity of much more. Diaries, travel and meeting arrangements will come easily to you, and your organisational skills will be second to none and demonstrate a high sense of accountability.
